Inactivity dashboard
The Inactivity dashboard gives you data on inactive teams in your environment.
- Select Inactivity.
- To set a specific date range for your data, use the fields (date format is DD/MM/YYYY) or click any of the quick-filter 7 D, 1 M, 3 M, 1 Y buttons.
For the specified time period, the infographics show:
- X inactive teams - Trends in the total number of inactive teams in your environment.
- Who took action on inactive teams - What proportion of inactivity was addressed by team owners or by admins.
- Actions taken by team owners - The proportion of inactive teams kept, archived, or deleted by team owners.
Purpose dashboard
Select Purpose to view the Purpose dashboard. Here, you can view information and analytics about the use of purpose tags in your environment.
To set a specific date range for your data, use the fields (date format is DD/MM/YYYY) or click any of the quick-filter 7 D, 1 M, 3 M, 1 Y buttons. For the specified time period, the infographics show:
- X teams without purpose tag - Trends in the total number of teams that do not have a purpose tag assigned.
- Who added a purpose tag to teams - What proportion of purpose tags were assigned by team owners or by admins.
- Number of teams per purpose tag - What proportion of each purpose tag type was assigned during this time period.
Tip: Use this information to update the purpose tag options and make sure they reflect the business purpose of teams created in your environment.
External sharing reviews dashboard
Select External sharing to view the External sharing reviews dashboard. Here, you can view information on the external sharing reviews that are In Progress and Completed for teams in your environment.
Your In Progress widget shows:
- The name and timeline for each review.
- The number of teams waiting to be reviewed for your default policy and/or sensitivity tags.
- The number of teams reviewed to date for your default policy and/or sensitivity tags.
- The total number of external sharing links deleted and guests removed during the listed review(s).
Your Completed widget displays a summary of this information when each review is finished.
Sensitivity dashboard
Select Sensitivity to view the Sensitivity dashboard. Here, you can view information and analytics about how sensitivity tags are being used in your environment.
To set a specific date range for your data, use the fields (date format is DD/MM/YYYY) or click any of the quick-filter 7 D, 1 M, 3 M, 1 Y buttons. For the specified time period, the infographics show:
- X teams without sensitivity tag - Trends in the total number of teams that do not have a sensitivity tag assigned.
- Who added a sensitivity tag to teams - What proportion of sensitivity tags were assigned by team owners or by admins.
- Number of teams per sensitivity tag - What proportion of each sensitivity tag type was assigned during this time period.
Recommendations
Recommendations show you high-impact tasks for managing inactivity, purpose tags, and sensitivity tags. Some of the tasks you might see include the following:
- X teams have been inactive for over 6 months.
- You asked owner(s) to take action on X inactive teams, they didn't reply.
- Automatically ask owners to take action on their X inactive teams.
- X teams without purpose tag, or X teams without sensitivity tag.
- No response for X teams. You asked their owners to add a purpose tag.
- X teams with sensitivity mismatches.
Click the green button to go to the appropriate section of the app with filters applied, so you can take action immediately.
Analyze your data
Monitor the infographics in the Inactivity, Purpose, and Sensitivity dashboards to better understand your environment, mitigate sprawl, and keep your data secure.
First, enter a date range (date format is DD/MM/YYYY) to analyze and understand trends in your data over a specific time.
The color and indicators of the first graph change if there has been an increase or decrease in the behavior during the specified time period. The graph appears orange and shows an increasing arrow when the trend is upwards, or green with a decreasing arrow
when the trend is downwards.
For example, an increase in the X inactive teams graph can mean there are more inactive teams, while a decrease in the X teams without sensitivity tags can represent higher engagement.
The Who took action on inactive teams and Who added a purpose/sensitivity tag to teams graphs track your team owners' collaboration and engagement. If team owner actions reach 100% during the specified time period, the graph displays a success icon.
